Slide Layouts

Use slide layouts provided within PowerPoint to ensure files have correctly structured headings and lists, and proper reading order.

  1. Select Home > New Slide, then choose a layout from the dropdown.
  2. To change a slide layout, select Home > Layout, then choose a layout from the dropdown.

Slide Reading Order

If you Insert other content (e.g, a text box) it will be read by a screen reader in the order it is added to the page. To check or fix reading order, select Home > Arrange > Selection Pane. Reading order is shown in reverse, bottom to top. Click and drag or use the arrow buttons to change reading order.

Alternative Text

Images should be given appropriate alternative text in PowerPoint. This Alt text is read by a screen reader in a PowerPoint file and should remain intact when exporting to HTML or PDF.

  1. Right-click on the image and choose Format Picture.
  2. Select the Size & Properties icon and choose Alt Text.
  3. Enter appropriate Alt text only in the Description field (not the Title field).

Data Tables

Accessible tables need a clear table structure and table headers to help guide a screen reader user.

  • Select the Insert tab on the ribbon, then select Table > Insert Table.
  • Keep tables simple. There is no way to add table header information in a way that will be identified by a screen reader.
  • If you have Adobe Acrobat Pro (not just the free Reader), save your presentation to PDF and add table headers in Acrobat Pro.

Hyperlinks

PowerPoint automatically creates a hyperlink when a user pastes a full URL onto a slide and presses Enter or Space. These may not make sense to screen reader users or others, so make the link text descriptive.

  1. Select a hyperlink, right click, and select Edit Hyperlink or hit ⌘ + k.
  2. Change the text in the Text to Display field to a more meaningful description.

Accessibility Checker

  1. Select File > Info.
  2. Select the Review tab and choose Check Accessibility.
  3. The Accessibility Checker task pane will show accessibility errors, warnings, and tips on how to repair the errors.

Select specific issues to see Additional Information at the bottom of the pane.

Other Principles

  • Ensure font size is sufficient. If your presentation will be viewed on a projector, font size may need to be even larger.
  • Provide sufficient contrast. If your presentation will be viewed on a projector, sometimes the contrast needs to be even more pronounced.
  • Do not use color as the only way to convey meaning.
  • Avoid automatic slide transitions.
  • Use simple slide transitions when possible.
  • Do not put accessibility information like alternative text in the Notes pane.
  • If you have embedded video, ensure it is captioned.
  • If you have embedded audio, include a transcript.
  • If your slides contain animations, ensure they are brief and do not distract from the most important content on the page.
  • Use simple language.

To exit Slide Show view, choose any of these options:

  1. Press the Esc (Escape) key.
  2. Right-click or Ctrl+click on the slide, and choose the End Show option in the resultant menu,as shown in Figure 4.

Remember that Slide Show view is purely a display view and no editing can be done on slides at this point of time. However, SlideShow view has some navigation and annotation options. If you hover your cursor over the bottom left area of the slide, you'll findfour watermarked navigation icons that you can see in Figure 5.

These icons are explained below, as marked in Figure 5, above:

A. Previous Slide

Click this icon to navigate to the previous slide (or press the P, Left Arrow,or Delete ⌫ keys).

B. Pen Tool

Click on this icon to bring up a menu, as shown in Figure 6, below.

The options within this menu are explained below:

  1. Automatic: When selected, this option shows the pointer automatically.
  2. Hidden: Selecting this option hides the pointer.
  3. Arrow: This option shows the pointer arrow.
  4. Pen: When you select this option, the pointer works almost like a virtual highlighter pen. You can actuallyscribble and annotate over your slide almost like writing on a whiteboard.
  5. Pen Color: You can change the Pen color through the Pen Color menu option. Hover the cursor overthe Pen Color option to open a sub-menu as shown in Figure 7. Here, select a color for yourannotations.

C. More Options

This icon, when clicked, opens a menu as shown in Figure 8, below in which is similar to the right-click contextmenu shown in Figure 4 earlier on this page, including Use Presenter View option to accessthe Presenter view directly, as shown highlightedin red within Figure 8.

D. Next Slide

Click this icon to navigate to the next slide (or press the N, Right Arrow,or Spacebar keys).

By default, Slide Show view works in full screen mode but you can change that too, to do that access the SlideShow tab of the Ribbon, and click the Set Up Slide Show button, highlightedin blue within Figure 9.

Alternatively, you can Shift+click the Slide Show button (shown highlightedin red within Figure 2, earlier on this page) button onthe Status Bar. Either of these options brings upthe Set Up Show dialog box, as shown in Figure 10.

In the Show type area, you can choose the Browsed by an individual (window) option (highlightedin red within Figure 10, above). Turning on this option plays your presentation in awindow, as shown in Figure 11.

Also within the Set Up Show dialog box, you will find Browsed at a kiosk (full screen)option (highlighted in blue within Figure 10, above). Turning on this option displays thepresentation in full screen mode but none of your navigation options such as a mouse click or the keyboard will let you move from oneslide to another.

Shortcut Keys

  • F5: Slide Show view
  • Shift+F5: Starts Slide Show view from the current slide
  • Esc: Exit Slide Show
